Acquisition Checklist: Bringing New Hospitals and Systems into Your Software Network

Written by Becky Vance | Apr 25, 2023 1:00:00 PM

Acquiring a new hospital or healthcare system is no easy feat, but the work doesn’t stop once the acquisition is done. One of the most important steps to take immediately after an acquisition is to onboard the new organization into your existing software network, including your document management system. This step is crucial to successfully folding in a new hospital or healthcare system. This acquisition due diligence checklist is to help ensure your onboarding process is efficient and easy.

Your acquisition integration checklist for a seamless merge

So, how do you seamlessly integrate your new hospital or healthcare system into your existing one? Here’s a step-by-step acquisition integration checklist to help guide you through the process. To keep things simple, we’re breaking the process into three phases.

Phase 1: Administrative

Immediately after accepting the offer for your new hospital or healthcare system, you’ll need to kick off administrative actions for employees. These include steps like:

  • Checking licenses and national certification statuses, as well as getting copies of candidate degrees and transcripts
  • Processing background checks and drug screens
  • Checking references where applicable
  • Obtaining a DEA certificate and applying for hospital privileges

And completing the necessary onboarding paperwork for employees, like tax and direct deposit forms, benefits selection, and emergency contact information.

Phase 2: Orientation

Once your administrative actions have been completed, the next part of your acquisition integration checklist should cover orientation for the hospital or facility. Here’s where you’ll take actions like:

  • Conducting orientation for new hires, which should include elements like emergency procedure training, reviewing important facility locations, and teaching employees how to fill out any essential reporting
  • Reviewing the organization’s mission and ethics statements
  • Providing I.D. badging and facility access
  • Setting up IT and providing emails, passwords, etc.
  • Ensuring that all providers have the necessary malpractice and liability coverage and documenting essential physician agreements

Basically, in this step you should ensure that all personnel are equipped with the proper tools to work and that all crucial operational paperwork has been completed and filed.

Phase 3: Specific Orientation

Once your employees have been oriented to the new organization, the next step in the acquisition integration checklist is to orient them to their specific unit or department. This phase includes steps like:

  • Verifying all unit-specific skills and competencies
  • Reviewing the chain of command and roles within the department
  • Explaining shift protocols and daily rounding requirements
  • Safety orientation and orientation to all equipment, including communication and record-keeping systems
  • Review of all procedures used in the department including lab and medication protocols
